Data we collect

• Account

  At sign-up: your email and name. Your password is never stored in plain text (hashing only).

• Google sign-in

  If you use "Continue with Google": your email, name and profile picture. No files or contacts from your Google account are ever read.

• Documents

  The tender documents you upload for analysis, stored on our server and isolated per organization: no other client can access them.

• Payment

  Payments are processed by Stripe. We never see or store your card number.

• Logs

  Standard technical logs (timestamp, IP address, pages visited) to operate and secure the service.

• Assistant

  When you use the chatbot: your messages, your organization name, file names and excerpts of evidence from the dossier being viewed, so the answer stays in context.

• Analytics

  When enabled, analytics uses Plausible or Umami, without cookies and without individual profiling: aggregated page views and conversion events.

How data is used

Your data is used solely to provide the service: creating and securing your account, analyzing your documents, handling payments. It is never sold, rented or shared for advertising. Service notification emails (new account, new purchase) go only to our own team, never to third parties. When AI analysis is enabled, excerpts of your documents are sent to the configured provider (Anthropic or OpenAI) to produce the analysis; the deterministic engine runs without a key.

Third-party providers

• Google

  "Continue with Google" authentication.

• Stripe

  Payment and subscription processing.

• Brevo

  Sending transactional emails: verification codes to users and notifications to our team.

• Anthropic

  AI analysis and chatbot, when AI analysis is enabled. Document excerpts and conversation context are sent to produce the answer, under the provider's API terms.

• OpenAI

  Alternative AI analysis provider, if configured. Same purposes and same excerpts as the primary provider.

• OVHcloud

  Hosting of the site, database and documents in Canada (Beauharnois, Quebec).

Data retention

Your documents are kept while your account is active. To delete your account, your documents and the associated data, write to contact@tenderaihub.com: the request is handled promptly. Technical logs are kept for security and evidence.

Refunds

Our refund policy, processed through Stripe:

• Subscriptions — 14 days, no conditions

  Money back within 14 days of purchase: write to us and the refund is complete, with no justification required.

• One-time purchases — as long as no analysis has been launched

  A launched analysis is a service consumed (real OCR and analysis costs). As long as no analysis has been launched on the project, the purchase is refundable for 14 days.

• After the 14-day period

  The subscription can still be cancelled at any time in one click from the dashboard: it does not renew and remains active until the end of the current period, with no pro-rata refund.

• Processing your request

  Write to contact@tenderaihub.com: the request is handled within 3 business days and the refund is issued via Stripe to your original payment method.

Your rights

You can request access to your data, its correction or its deletion at any time, at contact@tenderaihub.com. Every request receives a reply. The person responsible for the protection of personal information can be reached at the same address; you may also file a complaint with the Commission d'accès à l'information du Québec.
